Looking for the saaviest and most organized personal assistant house manager in Milwaukee

We are looking for the most refined personal assistant that can flex as a house manager when needed in Milwaukee. You will be working for a very detail-oriented boss, so we need the best! The current assistant is retiring after many years with the family, so you will be set up for success before the assistant departs. You will be trained on all preferences, procedures, manuals, likes and dislikes of the family. This is a very fast paced home, so you have to be quick and able to quickly pivot. The Mrs likes to have the to do list checked off daily, unless planning for an event, etc. This family hosts often, so prior experience with this is required. You should know how to manage an event planning list, set up, event day of and event take down. You should have experience with managing a busy calendar, making reservations, booking travel, confirming appointments, keeping your boss on track, etc. You should also be great with invoice tracking and bookkeeping. Accounting and Financial Administration
Provide accurate, organized support for household and personal financial administration within established approval and security procedures, including:
• Process and organize bills, receipts, invoices, reimbursements, and supporting documentation.
• Enter and code transactions in QuickBooks or similar software and reconcile credit card, bank, and household operating accounts.
• Track spending against budgets or spending plans and prepare expense summaries and reports.
• Coordinate payment approvals and submit payments in accordance with established authorization controls.
• Review invoices against goods or services received, resolve discrepancies, and manage recurring payments, subscriptions, contracts, and renewals.
• Coordinate with the family’s accountant, bookkeeper, insurance professionals, and other outside advisors as directed.
• Handle financial information, account access, checks, credit cards, and sensitive documents with exceptional care and confidentiality.
Discretion and confidentiality are 2 of the most important qualities this family is looking for. Tech saaviness is required – while there is an IT guy, you will be asked for all phone and printer troubleshooting questions. There is a house manual, but it needs updating. Please have prior experience with creating house manuals and maintenance manuals, staying on top of appliance and car maintenance and overseeing vendors.
